1. About These Terms

These Terms and Conditions (“Terms”) govern your use of the Psych Bots Consulting website at https://www.psychbots.net and the professional services provided by Psych Bots Consulting (Psychologists Botswana) (“we”, “us”, “our”, “the Practice”).

By accessing our website or engaging our services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not use our website or engage our services.

2. Our Services

Psych Bots Consulting provides the following professional services:

  • Individual psychological consultations
  • Corporate and institutional mandates
  • Employee Assistance Programmes (EAP)
  • Executive coaching and leadership development engagements
  • Online and virtual consultation sessions

All services are provided by registered professionals in accordance with the applicable professional standards and ethical codes governing the practice of psychology in Botswana.

The information on our website is provided for general informational purposes only. It does not constitute clinical advice and should not be relied upon as a substitute for professional psychological assessment or treatment.

3. Booking and Appointments

Appointments may be booked directly through our website via our online booking tool, by email, or by telephone. Confirmation of an appointment constitutes an agreement to attend at the scheduled time.

Rescheduling and cancellations — we ask that you provide a minimum of 48 hours notice if you need to cancel or reschedule an appointment. While we do not currently charge a cancellation fee, we reserve the right to introduce a cancellation policy with reasonable notice should this become necessary.

No-shows — if you fail to attend a scheduled appointment without notice, we reserve the right to record this and take it into account when scheduling future appointments.

Late arrivals — if you arrive late for a session, the session may be shortened accordingly. The full session fee remains payable.

Online and virtual sessions — for virtual consultations, you are responsible for ensuring you have a stable internet connection, a private space, and the necessary technology to participate. Technical difficulties on your end do not entitle you to a refund or rescheduling of the session.

4. Fees and Payment

Individual clients — fees for individual consultations are payable upfront prior to the commencement of the session unless otherwise agreed in writing.

Corporate and institutional clients — fees for corporate mandates, EAP contracts, and executive coaching engagements are invoiced in accordance with the terms of the agreed service contract or proposal. Payment terms are as specified in the invoice, typically 30 days from date of invoice unless otherwise agreed.

Currencies — we invoice in Botswana Pula (BWP), South African Rand (ZAR), or United States Dollars (USD) as agreed with the client prior to commencement of services. Any currency conversion costs are the responsibility of the client.

Late payments — invoices not settled within the agreed payment period may attract interest at the prevailing legal rate. We reserve the right to suspend services until outstanding amounts are settled.

Fee changes — we reserve the right to review and adjust our fees from time to time. Any changes will be communicated to existing clients with reasonable notice prior to implementation.

5. Confidentiality

Psych Bots Consulting takes confidentiality seriously. All information disclosed by clients in the course of a professional engagement is treated as strictly confidential.

We will not disclose your personal or clinical information to any third party without your prior written consent, except where:

  • Disclosure is required by law or court order
  • There is a serious and imminent risk of harm to you or another person
  • Disclosure is required by our professional regulatory body
  • You have provided explicit written consent for specific disclosure

Corporate clients engaging our services on behalf of their employees should note that individual employee sessions are confidential. We provide aggregate reporting to organisations only, and no individually identifiable information is disclosed without the express consent of the individual concerned.

6. Professional Boundaries and Limitations

Our services are professional advisory and therapeutic in nature. Engaging our services does not create an emergency response obligation. If you are experiencing a mental health emergency, please contact your nearest emergency services or hospital immediately.

The Practice does not accept responsibility for decisions made by clients or organisations based on advice or recommendations provided in the course of our engagements. Professional advice is provided in good faith based on the information available at the time and should be considered as one input into decision-making, not the sole basis for action.

7. Intellectual Property

All content on this website — including text, graphics, logos, and design — is the intellectual property of Psych Bots Consulting and is protected under applicable copyright law. You may not reproduce, distribute, or use any content from this website without our prior written permission.

Reports, assessments, coaching frameworks, and any written materials produced by the Practice in the course of a professional engagement remain the intellectual property of Psych Bots Consulting unless explicitly transferred to the client in writing.

8. Website Use

You agree to use this website for lawful purposes only. You must not use this website in any way that causes damage to the website, impairs its availability, or harms other users.

We make reasonable efforts to ensure the website is available at all times but we do not guarantee uninterrupted access. We reserve the right to suspend or withdraw the website or any part of it at any time without notice.

9. Limitation of Liability

To the fullest extent permitted by applicable law, Psych Bots Consulting shall not be liable for any indirect, incidental, or consequential loss or damage arising from your use of this website or our services, including but not limited to loss of data, loss of revenue, or loss of opportunity.

Our total liability to you in connection with our services shall not exceed the total fees paid by you to us in the 12 months preceding the event giving rise to the claim.

Nothing in these Terms limits our liability for fraud, gross negligence, or any other liability that cannot be excluded by law.

10. Governing Law and Jurisdiction

These Terms are governed by the laws of the Republic of Botswana for clients based in Botswana and the laws of the Republic of South Africa for clients based in South Africa.

Any disputes arising from these Terms or our services that cannot be resolved amicably shall be referred to the courts of the relevant jurisdiction. For corporate mandates spanning both jurisdictions, the governing law shall be agreed in the relevant service contract.

11. Changes to These Terms

We reserve the right to update these Terms at any time. The date at the top of this page indicates when they were last revised. Continued use of our website or services after any changes constitutes your acceptance of the updated Terms.
